Yes. About two weeks before you depart for the Bahamas, you will receive a travel packet with everything you need to prepare for your trip.

  • Take pictures of your travel documents (passport, airline confirmation, hotel confirmation, etc.) and the contents of your checked luggage.
  • Download your airline’s app to check in 24 hours before your flight, check seat assignments and track your flight. Don’t miss flight alerts, such as delays and cancellations.
  • Ensure you have enough of your prescription medication for your entire trip (pack it in your carry-on).
  • Check with your wireless service provider about an international plan for your time in the Bahamas.
  • Download an app—such as WhatsApp, FaceTime or Skype—to send messages or make phone calls using complimentary hotel Wi-Fi.
  • Get the U.S. Customs and Border Protection’s Mobile Passport app to help streamline your return to the United States.

Please register as soon as possible. The registration deadline is Friday, February 28, 2025.

Use this website to book all of your travel plans. The process is simple:

  1. Select “Register”.
  2. Fill in all requested fields and select “Submit Registration.”
  3. Check your email for confirmation of your registration.
  4. If you do not receive confirmation of your registration, please contact Travel Headquarters.

Yes. You may extend your stay at Grand Hyatt Baha Mar three days before or after the trip based on availability. You will need to provide a credit card to cover all extension expenses, including those for additional airfare, credit card processing fees, hotel stay and transfers. Please request your extension during registration.

Special Hotel Rate: $549 per night, plus taxes and fees, for a regular (non-suite) room. You may have up to four people in a room at no extra charge.

We’d love to. Our team of experts can help you plan your extension for a small nonrefundable research fee ($25 per person). In addition to the research fee, all extension expenses will be your responsibility, including additional airfare, credit card processing fees, hotel accommodations and transfers.

You will have the option to use our expertise for items such as:

  • Hotel research and booking (at hotels other than the group hotel)
  • Airline upgrades
  • Rental cars

If you need to cancel your personal extension arrangements, they will be subject to the cancellation policies of the service provider (airline, hotel, tour operator, etc.).

TRAVEL

We will help you with all of your travel plans. Here’s how it works:

  1. Start your registration by selecting “Register” above.
  2. Fill in all requested fields.
  3. Once completed, choose “Submit Registration.” This will allow you to view flight schedules and choose the best available flight for you.

If you’d prefer assistance with booking your flight, you’ll have the option to choose “Submit Registration & Request Booking Assistance.” An agent from Travel Headquarters will contact you via email with your proposed flight itinerary within two business days. Be sure to reply within 24 hours with your approval (or request changes). Then, your tickets will be issued.

Notes:

  • The registration tool works best with Chrome, Firefox or Safari. It will not work on Internet Explorer or Microsoft Edge.
  • You’ll receive an airline confirmation in your travel packet before you travel.
  • Pre-assigned seat assignments may not be available. Some airlines will allow you to pay a fee to secure your preferred seat choice.
  • Air travel is based on the lowest fares available at the time of ticketing and subject to airline regulations.
  • Any cancellations or changes after ticketing may result in penalties. All penalties will be your responsibility.

Yes. Once you have submitted your registration, you can log back in to this website at any time and choose the “Book Flight Online” button on the home page. It is best to book soon to get the best schedules, and you must book by the registration deadline (Friday, February 28, 2025).

You will receive an email from LexisNexis Risk Solutions Travel Headquarters once your flight is confirmed. Then, you will be able to view the details on your event summary at any time. Log back in to this website using the password you created upon first login and choose “Event Summary” from the top navigation.

Travel Headquarters will arrange for your transfers. It takes about 15 minutes to get from Lynden Pindling International Airport (NAS) to the hotel.

You are responsible for your own transportation if you arrive or depart outside of the trip dates.

You will need a valid passport to travel to the Bahamas. Your passport must be valid at least six months past the last day of your trip. Please see Travel Documents for more information.

The legal name on your passport must exactly match the name on your airline ticket, including any middle name or middle initial.

We suggest that you arrive at least three hours before your flight departs to allow you enough time to go through security and get to your gate. Don’t forget to check in to your airline’s website 24 hours prior to travel and view your flight itinerary so you are aware of any last-minute flight changes.

Follow the TSA’s 3-1-1 Guidelines for Liquids: 3.4-ounce containers in 1 clear, 1-quart zip-top bag. Check your airline’s website for luggage size limitations and fees.

Note: Airline carry-on restrictions do not apply to medical supplies and equipment. Travelers with disabilities and medical conditions can visit the TSA website to find out what to expect during airport screening and flying.

SAFETY

These tips will help keep you and your fellow travelers healthy:

  • Get plenty of rest
  • Frequently clean your hands with soap and water or alcohol-based hand sanitizer
  • Avoid touching your eyes, nose or mouth
  • Cover your mouth and nose with the inside of your elbow when you sneeze or cough
  • Replace hand shaking with verbal greetings
  • Avoid high-touch areas such as handrails, door handles, etc.
  • Carry disinfectant wipes to clean areas such as your plane tray table and armrests
  • Ensure all eggs and meat you consume are thoroughly cooked

Note: Most airlines use high-efficiency air filters that are comparable to those used in hospital operating rooms. These HEPA filters capture 99% of the airborne microbes in recirculated air.

You can play a large part in ensuring your own safety by following these simple tips:

  • Keep up to date with important safety and security announcements by enrolling in the Smart Traveler Enrollment Program (STEP).
  • Maintain a watchful eye of your immediate surroundings and keep belongings close to you.
  • Do not venture out alone; it is always safer to travel in numbers. Be sure to ask the hotel staff if an area of the city you plan to visit is considered unsafe.
  • Let someone know where you’re going and when you expect to return.
  • Try to blend in with locals and avoid looking or acting like a tourist. Walk with purpose and dress more conservatively. Be aware that wearing expensive jewelry or flashing a nice phone can make you a target of theft.
